Solar Panel Packaging and Pallet Storage: An RFQ Evidence Guide

Compare solar panel packaging quotes using pallet identity, handling documents, storage conditions and damage records. Build a traceable delivery handover.

A solar panel quotation should identify the package, handling instructions and process for reporting delivery exceptions. “Standard export pallet” leaves too much undefined when the shipment includes a warehouse stop, site transfer or partial unpacking.

Connect three records: the ordered module, its exact packaging configuration and each delivery handover. This guide addresses factory-packed rigid PV modules. Flexible panels, folding kits and other formats need their own packaging evidence. It does not assign SINAWATTS products another manufacturer's packaging specification or handling capability.

Give the packaging its own identity

Request the full module model, variant and ordered quantity, then identify the proposed packaging configuration. Record whether the quotation covers a complete original pallet, a partly filled pallet or repacked modules. A familiar brand name cannot identify which packaging instructions apply.

Ask for a packing specification or controlled drawing showing external dimensions, gross mass, units per package, orientation, protective components and the applicable label. Record its revision. Packing changes require review of the affected handling and storage arrangements.

Canadian Solar's installation manual IM/GN-EN/3.1, dated November 2025, identifies its covered module families and describes module barcodes and rear nameplates used for identification. That manufacturer example illustrates the value of linking individual module identity to the shipment. It does not establish a universal serial-number format. Agree how pallet IDs, module serials or other available lot identifiers will be linked to the packing list. Preserve the manufacturer's original identifiers when adding internal warehouse labels. If only a family-level document is supplied, ask the bidder to identify the offered configuration within it.

Give suppliers the same delivery route and receiving constraints. Use the following worksheet to expose missing information before comparing freight-inclusive quotations.

Ask which records exist and which need preparation. Confirm whether freight pricing includes special packing, inspection or unloading equipment.

Keep stacking rules tied to orientation and use

Trina Solar's Vertex manual UM-M-0002 Version N, dated August 2025, distinguishes vertical landscape and vertical portrait packages. Its unloading/storage section gives them different stacking rules. Its later transport guidance also addresses particular vehicle and packaging conditions. A number copied from one situation cannot be treated as permission for every stage of the route. Have the logistics reviewer identify the packaging diagram and its conditions. Separate warehouse stacking, vehicle loading, site storage and the arrangement after opening. Require a matching reference for each.

Package stacking permission also does not confirm a warehouse rack or temporary storage surface's capacity. Supply the packed mass, footprint and planned arrangement to the party responsible for that assessment. Keep its acceptance separate from the manufacturer's package instructions.

This article does not provide a forklift capacity, lifting arrangement, strap-cutting sequence or universal stacking height. The receiving contractor needs the complete applicable instructions and a suitable plan before the shipment arrives.

Describe the storage environment and duration

Canadian Solar's cited manual calls for dry, ventilated storage protected from direct sunlight and moisture. It also treats uncontrolled storage as a time-limited condition with additional connector protection, rather than unconditional outdoor storage. Ask for the exact offered product's requirements and the planned period at each location; do not transfer that manual's allowances to another panel or package.

Document whether storage will be inside a warehouse, beneath temporary cover or at an exposed project site. Include drainage, ground condition, weather exposure, expected duration and who inspects the packages. Ask what changes if the installation schedule slips.

JinkoSolar's official Storage and Unpacking Instruction of Photovoltaic Modules describes retaining complete outer packaging and protecting pallets and boxes from moisture, rain and direct sunlight. Its storage and unpacking sections also distinguish intact packages from unpacked modules. The cited file has no explicit revision/date in its readable text; obtain the applicable controlled version from the supplier. JinkoSolar storage and unpacking instructions, sections 2–3.

Use those examples to request a documented storage plan. Packaging should not be described as indefinitely weatherproof merely because it has wrapping film. Where exposure exceeds the applicable conditions, obtain a different storage arrangement or a documented manufacturer disposition.

Treat a partial pallet as a changed configuration

Opening a full pallet to remove samples changes the condition that the next handler receives. Record the removed module identities, remaining quantity, packaging condition and planned onward journey. Ask for the applicable repacking instructions before dispatching the remainder.

JinkoSolar's cited unpacking section requires protection to be restored before onward transport of unpacked modules and separately discusses handling individual modules over short distances. The procurement point is to obtain instructions for the actual next movement; an original full-pallet photograph does not document a partly emptied package.

Have the responsible supplier and logistics team review the changed packing arrangement. Keep any altered pallet label linked to the original module records.

Record arrival condition before losing traceability

Trina's cited manual asks recipients to check package condition and compare the outer-label model and quantity against the delivery order. This is a useful starting point for a receiving checklist, separate from later module performance acceptance.

Agree an evidence packet before shipment: delivery reference, location and time, visible pallet labels, package overview images and close views of any observed damage or moisture. Record the affected package IDs and reported counts. Where packaging is unstable or damaged, have the site lead arrange safe handling under the applicable procedure before attempting further inspection.

Record observations without guessing their cause. “Carton corner crushed on receipt” is an observation; assigning the damage to a particular transport leg requires supporting evidence. An intact carton does not, by itself, complete the agreed electrical or module-quality acceptance. Use the solar panel output-evidence guide for the separate performance-document discussion.

Define who reports exceptions, who decides whether additional inspection is required and who can authorize release. Retain the relevant labels and evidence while the case is open, as agreed with the parties responsible for it. This framework does not determine carrier liability or replace the purchase and transport agreements.

Hypothetical comparison: three pallets and one sample withdrawal

An invented RFQ requests 96 modules in three packages of 32, with a warehouse stop before site delivery. These are example quantities, not a standard pallet capacity. The buyer plans to remove eight modules for evaluation, leaving 24 in that package.

Supplier A sends a photograph of a different module's pallet and says the remaining modules can travel “in the original box.” It provides no instructions covering the partial package or the proposed site storage. Keep those items open; the correct arithmetic does not validate the packaging.

Supplier B identifies the offered module and package revision, links package IDs to the quantity list and provides the applicable storage instructions. It flags the 24-module onward shipment as requiring a reviewed repacking plan. B is more specific, but that movement remains on hold until the plan is accepted.

Close each item with a revised record: identity mismatch requires matching documents; an unsupported storage plan requires suitable conditions or manufacturer clarification; a partial package requires instructions covering its revised state. Retain the accepted revision and responsible reviewer's decision before the next handover.

Buyer FAQ

Does a factory pallet label prove the whole shipment is correct?

No. Compare the label with the order and packing list, then perform the agreed identity and quantity checks. Define how module-level records remain linked when a pallet is opened or split.

Can I copy another supplier's pallet stacking limit?

No. Obtain the rule for the exact package, orientation and activity. Confirm warehouse or site support capacity separately; a package limit is not a rack approval.

Is wrapping film sufficient for outdoor storage?

Do not assume so. Ask for permitted exposure, storage duration and package-inspection requirements. Resolve any mismatch between the planned location and the applicable instructions before dispatch.

What should happen when packaging damage is found?

Identify the affected package, record observations safely and notify the agreed contacts. Keep its release decision open until the responsible parties define and complete the required disposition or inspection.

Send the delivery route with the inquiry

Identify the panel in the SINAWATTS catalogue, then attach quantities, destination, intermediate storage, receiving constraints and any sample withdrawal. Keep the module mounting review as a separate installation decision.
